• Step 1. Go to Reports>Create-a-Report
  • Step 2. Select –Pre-Built– from the user drop down field at the top left hand side of the page.
  • Step 3. Locate the pre-built report called Addresses for currently enrolled students and click Load.

Note: You can make adjustments to the report as necessary. Please see the Create-a-Report Manual for further instructions on modifying reports.

You can use Create-a-Report to print mailing labels using Avery 5160 printing labels. There are 3 Label printing options:

  • Custom Labels
  • Students
  • Parents

  • Step 4. Select the label option at the bottom of the page.

Custom Labels

Custom Labels allow you to select any combination of fields you wish to include on the printed labels. Lines 1-4 allow you to add a custom text to the specified line number. For example, you can add “To the parents/guardians of:” on Line 1 before the student first and last name. You will then select the fields from the various tables that you wish to include on the printed labels. For example, Choose First Name and Last Name on Line 2, Address Street 1 on Line 3, City, State, and Zip on Line 4. When you are finished selecting the information you want to include you can Save Label Settings or simply Print Labels by selecting the corresponding button on the bottom right corner of the screen. Selecting Print Labels will generate a PDF file with the labels ready to print.

Student Labels

Selecting the Student Labels option will allow you to print labels for each student on the report. The labels will be addressed automatically to the Student and will include the student mailing address pulled from the student registration form. When you select the Students button you will have the option to enter a Prepend Label Text in the available text box. An example for this would be to include the text “To the Parents/Guardians of” which will appear on the label before the student name. You can also choose not to enter any information in this field and continue onto Save Label Settings and/or Print Labels. This will generate a PDF file with the labels ready to print.

Parent Labels

In order to use the Parent Labels option the Parents table needs to be included on your report summary. To link the parent table to your existing Students primary table, use the following steps.

  • Step 1: Click the “[+] Link additional tables related to” link under the Students Primary table.
  • Step 2: Then select the table you would like to link to and then choose the “Link” button. In this case we will choose the “Student/Parent Association” table.

  • Step 3: Select the Lives With option.
    • By using the “Lives With” field to link the student and parents tables you can choose whether to print labels for parents the student lives with, does not live with, or for both. This field will automatically default to “either” so if you want to restrict the field you will need to open up the restrictions page and set the value to either “True” or “False”.
  • Step 4: Next we will link the Student/Parent Association field to the “Parents” table.
    • Click the “[+] Link additional tables related to” link under the Student/Parent Association” table.
    • The table drop down box will pre-fill to Parents. Click the “Link” button

Select the First Name and Last Name fields and then click “Ok”. There is no need to add in the address fields for the parents because the labels will automatically pull the mailing address on file for the parents when generating

Now the report summary screen will show the Parents printing labels option at the bottom of the page. Click the “Parents” button. The “Combine Parent Names” button allows you to print only one label or each address by combining parents/guardians onto one label if they have the same address. For example ‘John Smith’ and ‘Mary Smith’ would become ‘John & Mary Smith’.

  • Step 5: Continue onto Save Label Settings and/or Print Labels. This will generate a PDF file with the labels ready to print.
